Online contract signing starts with an agreed version and ends with a completed file your team can retrieve. Prepare the PDF, assign signers and fields, choose the routing order, and retain the signed document, audit trail and completion certificate. This workflow helps you track the process without passing printed copies and attachments around. Completion time depends on document preparation and the parties involved.

Before you start, make sure the type of contract can be signed electronically in your country. Some transactions, such as personal status matters and real estate dispositions, have special procedures. See Electronic signatures in Saudi Arabia, the UAE and Iraq: what to verify.

The seven steps

1) Lock the final version of the contract

Agree on the full text before sending, then export it as a PDF. Editing after sending a signature request means cancelling it and sending a new one, clearly identifying the approved version and notifying all parties of the change.

2) Decide the signers and their order

Write down each signer's name and correct email address, and decide whether they sign in parallel or in sequence. Order matters when one party must sign before another, for example the candidate signs an offer letter first, then the authorised manager.

3) Place the fields

Each signer gets their own fields: signature, initials on key pages, date, and any text they must complete (such as a job title or an ID number if the contract requires it). Check that every required field is present before sending.

4) Send a private link to each signer

Do not email the file as an attachment for the other party to print, sign and scan. A recipient-specific link helps associate process events with the intended recipient and record viewing and consent.

5) Apply the required verification level

The most basic level is a one-time code sent to the signer's email before they sign. The code confirms access to the mailbox at that step. It is not, by itself, formal identity certification; choose the verification level required for the transaction.

6) Follow up until completion

See who has opened and who has signed, and send a reminder to anyone who is late instead of chasing by phone or chat.

7) Keep the evidence, not just the file

On completion, keep three things: the signed file, the audit trail (every view, consent and signature with date and time) and the completion certificate. File them next to the customer, employee or project the contract belongs to.

Common mistakes and how to avoid them

Mistake

Why it is a problem

Instead

Pasting a signature image into a Word file

Proves neither who added it nor when

A signing platform with an audit trail

Emailing the contract to be printed and scanned

Slow, unclear scans and difficulty tracking the approved version

A private signing link for each signer

Editing the contract after one party has signed

You end up with two different versions

Cancel the request and send the new version to everyone

Forgetting initials or the date

An incomplete contract that may need re-signing

Place every field before sending

Keeping the signed file in a personal inbox

The team may struggle to retrieve it when ownership changes

Automatic filing in company files

A practical example: a client service agreement

Once the scope and fee are approved internally, prepare the final version and identify the client representative and your authorised company signer. Use sequential routing if approval must follow a defined order. File the result beside the client and project so delivery starts from the version everyone approved.

How it works in HyoNova Sign

HyoNova Sign is the electronic signature tool inside HyoNova, and its steps match the guide above:

  1. Upload and prepare: add the PDF and place signature, initials, date and text fields with the field editor.

  2. Send for signature: add recipients and set a sequential routing order when one signature must come before another. Sending a request uses one envelope, however many people sign it.

  3. Sign securely: each signer opens their private link, confirms a one-time code sent by email, consents and signs. External signers do not need a HyoNova account and never use a seat.

  4. Keep the proof: every view, consent and signature is recorded in a hash-chained audit trail, and each completed envelope produces a sealed evidence package and a bilingual completion certificate with a QR code. Download the signed file and certificate, or share the public verification link.

Signed documents and certificates are filed automatically in HyoNova Files, beside the customers, projects and people they relate to. Reminders, certificates and verification are free.

HyoNova Sign is included on every plan, and Free starts with 2 promotional envelopes once per company. Compare plans.

HyoNova Sign produces simple electronic signatures with an audit trail; it is not a qualified (QES) or advanced (AES) electronic signature. Whether it suits a specific document depends on the law that applies to it.

Frequently asked questions

Do I need special software to sign a PDF?

To sign your own file, many tools will do. To send a contract to other parties with evidence of who signed and when, you need an electronic signature platform that records each step.

Does the other party need an account to sign?

With HyoNova Sign, no. External signers use their private link and the verification code sent to their email.

How long does it take to sign a contract online?

Timing depends on document size, fields, review and signer responses. Use a training document to estimate the time your team needs.

What if the other party wants to change the contract after I send it?

Agree on the change, then send the new version as a new signature request, so two different versions never exist.

How do I prove later that the contract did not change after signing?

The audit trail, evidence package and completion certificate help review process events and verify outputs, subject to the transaction requirements. In HyoNova Sign, anyone holding the certificate can confirm its authenticity on the public verification page.

Can every type of contract be signed electronically?

No. Some transactions are excluded or have special procedures under each country's law, such as personal status matters and real estate dispositions. Check the requirements for regulated documents.
